Key Takeaways

  • The work permit still comes from Poland. Your employer applies to a voivodeship office; no office in India issues one.
  • Work visa applications are registered through e-Konsulat, and there is a second form on the VFS system as well.
  • Applications are submitted in person at a VFS visa application centre, not at the Embassy itself. This differs from Pakistan.
  • Appointments are assigned by electronic draw when demand exceeds slots, allocated weekly in New Delhi and fortnightly in Mumbai.
  • New Delhi covers northern and central India plus Afghanistan, Bangladesh, Bhutan, Maldives, Nepal and Sri Lanka. Mumbai covers southern and western India.
  • The missions state they do not cooperate with travel agencies, employment agencies or visa agents, and using one brings no preferential treatment.
  • Applications are not accepted by fax, post or e-mail.

The Poland work permit route for Indian citizens has the same foundation as everywhere else, but the mechanics in India are genuinely different from the neighbouring countries people compare notes with. Advice copied from a Pakistani friend’s experience will send you to the wrong building.

This guide follows what the Polish missions in India publish themselves.

Waiting at the visa application centre

What does not change: the permit comes from Poland

Wherever you apply from, the work permit is a Polish domestic document obtained by your employer inside Poland. It is not issued in India, and it is not issued by a Polish mission.

The Embassy’s fraud warning for visa applicants states it directly:

The Minister of Foreign Affairs of the Republic of Poland does not issue work permits or other documents entitling to work in Poland.

So the sequence is unchanged: a real employer, a real permit applied for by that employer, then your visa application. If someone in India offers to sell you a Polish work permit, the document cannot be what they say it is. Our guide on checking whether a work permit is genuine gives you the questions to ask.

Which mission covers you

India is split between two missions, and applying to the wrong one wastes weeks.

According to the national work visa page for India:

  • The Embassy in New Delhi covers northern and central India, together with Afghanistan, Bangladesh, Bhutan, the Maldives, Nepal and Sri Lanka.
  • The Consulate General in Mumbai covers southern and western India.

Jurisdiction follows where you reside, so check the published state list for your own address before you register anything. This also matters if you are a national of a neighbouring country living in India: your residence, not your nationality, is what places you.

Two systems, not one

This is the detail that surprises people, and the one most often got wrong.

The application for a work visa is registered through e-Konsulat. But that is not the only form. The India work visa page states that applicants must “fill up a visa application form which is additional to the forms filled up in e-Konsulat system”, completed on the VFS system before attending.

Two separate online steps, on two separate systems. Completing one and assuming you are finished is a common way to lose an appointment.

Fill both, print what you are told to print, and check that the details on each match your passport exactly. Mismatches between the two forms are an avoidable problem you create for yourself.

Registering online at home before the appointment

The appointment draw

Appointments are not first come, first served in the way people assume.

Where there are more correctly verified applications than available slots, the date of appointment is assigned by an electronic draw. Confirmation of the assigned date arrives by e-mail. Slots are allocated weekly for New Delhi and fortnightly for Mumbai.

Understand what that means commercially. Nobody can sell you a slot, because slots are not handed out by a person. An agent claiming to hold appointments, or to have influence over the draw, is describing something that does not exist.

It also means the honest answer to “when will I get an appointment” is that it depends on the draw. Anyone giving you a guaranteed date is guessing or lying.

Where you actually submit

Here is the clearest difference from the route many people have heard about.

In India, applications “should be submitted personally at one of the VACs”, the VFS visa application centres. In Pakistan, by contrast, work visa applications are submitted at the Embassy in Islamabad itself.

Same country of destination, different submission point. If you are following instructions from someone who applied in Islamabad, they will send you to the wrong place.

What does not differ is the requirement to attend yourself. Diplomatic missions “do not accept application forms sent via fax, regular mail or e-mail”, and the fraud warning confirms that in the case of work and study visa applications the personal presence of an applicant at the counter is mandatory.

No agent attends for you. If one offers to, they are offering something the mission does not permit.

The paperwork gathered and ready

What agents cannot do here

The missions in India have been unusually direct about intermediaries. They state that they do not cooperate with external companies such as travel agencies, employment agencies or visa agents, and that using the services of intermediaries does not lead to preferential treatment.

The fraud warning adds two more practical protections.

On fees: “There are no additional fees which must be paid to the Embassy other than the visa fee.” Anything else an agent charges is their own commercial fee, not a government charge.

On communication: official correspondence comes only from addresses ending in @msz.gov.pl, and “Information received from other sources should be considered as coming from unauthorized entities.” Check the address itself, not the display name.

The same warning notes the Embassy issues no authorisation letters at all: the only ways a result is communicated are a visa stamped in the passport or a refusal letter. There is no approval email to wait for.

If a refusal does arrive, it is not the end of the road. Our guide on why work visas get refused and what to do next covers the re-examination right and how to rebuild a file.

FAQ

Can I get a Polish work permit in India?

No. The permit is obtained in Poland by your employer. The Polish foreign ministry states it does not issue work permits or other documents entitling to work in Poland.

Do I apply at the embassy or at VFS?

In India, applications are submitted personally at a VFS visa application centre. Registration still happens through e-Konsulat, with an additional form on the VFS system.

New Delhi or Mumbai?

It depends on where you live. New Delhi covers northern and central India plus several neighbouring countries; Mumbai covers southern and western India. Check the published state list for your address.

Can an agent get me an earlier appointment?

No. Where demand exceeds slots the date is assigned by electronic draw, and the missions state that using intermediaries does not lead to preferential treatment.

Is the process the same as in Pakistan?

The foundation is the same, but the submission point differs: India submits at VFS centres, Pakistan at the Embassy in Islamabad. Always follow the guidance for the country you are applying from.

The permit comes from Poland, the registration goes through two systems, and the appointment comes from a draw. Everything an agent might sell you sits outside that, which is the simplest test there is.
